Response, the second of the 3 R's

What happens to the calls my business misses, and how do I answer every one?

The short answer

A missed call is a customer who may ring the next business instead, and you never find out.

Answer it, text back straight away, or have something answer for you after hours.

What a missed call costs you

Nobody can tell you this with a big number off the internet. Use your own: how many calls you miss, and what a job is worth to you.

$104,700

That is about 70 calls a month nobody got to.

An estimate based on the numbers you entered. This is your own maths, not a promise. Only you know how many calls you miss and what a job is worth to you.

The calls you miss are not the ones you think.

Most businesses think of missed calls as the ones that come in while they are busy. The expensive ones come in when nobody is there at all.

After six. Someone finishes work, then starts ringing around. You are closed. The next business on the list is not.

Weekends. Two days of enquiries going to voicemail, and by Monday some of them have booked someone else.

While you are with a customer. You cannot stop what you are doing, and you both know it.

Public holidays and leave. The phone rings the same, whether anyone is there or not.

Your options, side by side

There are five common ways to deal with calls you cannot take. Here is a fair look at each.

After hours

You do not have to work nights to answer night calls. But a caller at 8pm should still get something useful.

At the very least, your voicemail should say who you are, when you will call back, and what to do if it is urgent. Better again, a text goes out straight away, or something answers and books the job for you.

Booking and follow-up

Answering is only half of it. The job is not yours until it is booked.

Book the time while the customer is still on the phone if you can. If you send a quote, follow it up once with a short, friendly text a few days later.

When the job is done, that is the moment to ask for a review. See How do I get more Google reviews for my business?

Test your own phone tonight

  • Ring your business number after hours from a phone that is not yours.
  • Listen to what a new customer hears. Does it say who you are? When you will call back?
  • Hang up without leaving a message. Does anything happen next? A text? Nothing?
  • Ring again during a busy part of the day and see how long it takes to get an answer.

By type of business

Built for businesses where every call counts.

You are on a job, with a client or with a patient, and the phone rings. Customers will not always wait. The AI Receptionist answers, books them in and sends you the details.

How OfficeStaff helps.

Our AI Receptionist picks up when you or your team cannot. Three things happen to every call.

Answer

It picks up in seconds when you are busy, on another call, or it is after hours. Three calls at once, all three get answered.

Qualify

It finds out what the job is, where it is and how urgent it is. A routine booking and an urgent job are not the same call, and it knows the difference.

Book

It checks your calendar and locks in the time while the customer is still on the phone. If it cannot book, it takes their details and texts them to you.

Your website can do the same. The Smart Website answers questions and books people in, day and night, and you get a text after every conversation. See the Front Office packages

Frequently asked questions

What does a missed call cost my business?
It depends on your numbers: how many calls you miss, how many of those callers ring someone else, and what a job is worth to you. Put your own numbers into the calculator on this page.
What is missed-call text back?
When you miss a call, a text goes to the caller straight away. It tells them you saw the call and lets them reply, so they are less likely to ring the next business.
What is an AI receptionist?
An AI assistant that answers your phone when you cannot. It finds out what the job is, books it into your calendar or takes the details, and texts them to you.
Will an AI receptionist sound like a robot?
Ours sounds Australian, warm and natural. It never pretends to be a person. If someone asks, it says it is an AI assistant for your business.
Should I answer calls after hours?
You do not have to pick up yourself. But every after-hours caller should get something useful: a message that says when you will call back, a text back, or something that answers for you.
How fast should I reply to a new enquiry?
As fast as you can, and the same day at the latest. The customer may be ringing around, so a quick, clear answer gives you a better chance of winning the job.
Can I record business calls in Australia?
It depends on the laws that apply to your business. Get legal advice before you start recording calls. This is general information, not legal advice.
How do I follow up a quote that went quiet?
Send a short, friendly text a few days later. Ask if they have any questions about the quote. One follow-up is helpful. Five is pushy.
Does it work if I already have someone answering the phone?
Yes, and it is the most common setup. Your office person keeps answering exactly as they do now. The AI Receptionist picks up the calls they cannot get to: when they are on another call, at lunch, after hours and on weekends.
Can I keep my existing phone number?
Yes. Most businesses forward their existing number, so customers ring the same number they always have.
